All-Cali Meet 2009 (Planning thread)

Since I work and have so much free time, I'd like to jump start this. Is this the "3rd Annual All-Cali"?

To help improve this years, we must look back at last years.
1. The venue did not have a parking lot. We NEED parking spaces.
2. Activities. Last year was a little clicky. I'm not talking about 4th grade ice-breakers. I'm talking about flag football, basketball, contests? Raffles?
3. A stricter agenda, many got bored, so lets try to keep an agenda
4. Better carpooling system. Some got lost, it can get out of hand at times with the excessive speeding and catching up. We don't need any more attention.
5. Others?


Location: Somewhere fairly in the middle of California
Date: Spring/Summer

Yes this would be the 3rd year. No one got lost with the norcal carpool. I agree with the agenda. It's somewhat hard because no one really "own" the all-cali meet. Everyone is there to have fun and do whatever.

Dang, that's hella early for 2009 All Cali Meet planning.

I know around June every year and for 2009 it's June 19, 20, and 21st, Pismo Beach has classic car show that is pretty big with foods, musics, and stuffs for the whole family. Should we plan our event at the same time? Parking might be hard to find around the beach, but it's like that everyday of the year. We can gathering at the park where 1st year All Cali meet occured, then we can joint the festivity at the beach with classic car shows. Let's have some suggestion to make 2009 a better meet.

Parking will always be a problem in Pismo and the surrounding area. They usually dont get a big group like us.

maybe find somewhere close to pismo...

anyways we can do potluck style...

OR, a set fee to cover EVERYTHING:
venue fee, name tags, maybe a shirt/sticker, food, drinks, raffels, prizes, etc.


maybe get some vendor support like from ATLP, Excel Detail, Heeltoe?

Have incentives, otherwise people won't go.

East Coast had RonJon as incentives awhile back I think.

Screw it, we should do West Coast Acurazine Meet in Vegas! If people sign up and not show up then it doesn't really matter and no one care as whos show up will have so much fun at all you can eat buffet and other fun activities in LV.

^some members are under the age of 21..

why not have it at the spot they had it the first year? seemed like there was enough parking and a good area for activities?? i didn't go so maybe someone who went to the 1st one can chime in on that??

The area was pretty nice and chill. There is an entrance fee though, i believe it was $5.

I think M.K. brought that up. While I think it's a great idea, I think it would be better if we do it as more people get acquainted. LV sound great for a West Coast meet.

$5 to get a cool spot = better than everyone scattered and no photoshoot i think $5 is reasonable, i mean unless we find a spot like that where we don't have to pay then by all means we should go for it..

I would most likely be down, as long as I dont hit anything on the freeway and get a flat again

I think the beginning of summer would be the best, but that is my 2 cents.

I'm really liking the Vegas Idea. I think surrounding states would join, especially if we are planning it now. Otherwise I'm in for the normal Mid Cali spot.

i wouldn't mind paying $5 for an entrance fee.. i mean hell.. drove up like.. 200+ miles and ended up parking around a park not even in a lot (even tho my car looked like shit...) i'd rather just pay and play.

everybody parked around the park instead of in a lot. what's the difference?
you were expecting everybody to drive 200+ miles to park in a lot so we could all stand around our cars?
Even around the park, everybody's cars were still together.

when we all met up in the huge parking lot before even going to the park, we spent quite some time there going around each others cars, taking pics and whatnot.

The park was actually a great BBQ spot. The only problem is...nobody bothered to make activities for us all to do.

no on vegas, great idea, but people are underaged and defeats the purpose of "all-cali"

the park itself last year was great, parking wasn't the best. i listed what i think will help with 2009's meet.


Thoughts/Issues
1. A set fee for EVERYONE to pay. It will include food (so we don't buy too much/less), reservation fee, raffles/prizes, activities, stickers/t-shirts, etc. The whole works. We'll do a vote here. This will help eliminate all problems about who's bringing what and how much and if everyone will bring anything. its more fair imo.
2. New Park/Beach this year. We need suggestions.
3. Agenda/Activities for 2009 would really step it up. Suggestions would be great and I hope people can follow it.
4. Vendors/Raffles/Contests I want to make it more worthwhile for everyone to participate and come this year. Last year we had a great turnout, this year would be even better. I'll try to contact a few vendors to get free stuff, and/or have the set fee (see item 1) to cover cost of a gift card or some sort (gas, from a vendor, etc).
5. Date/time will be decided later on, but it will be in the beginning of summer when everyone's off school/work on a weekend. Will not be held on a holiday.
6. Any Other Issues we can address it early.

I think a meet in May/June/July would be better. I couldn't wait for August to come since it was my first All-Cal meet. The sooner the meet, I think a lot can be accomplished as far as planning wise. You know when you have a lot of time you tend to put it in the back burner until it's time to do it?

Having a small fee per person for food and stuff would be a good idea. That way we don't have to worry about cheapskates who show up with a $2 bag chips or a couple bottles of $0.99 soda while someone else brings $20 worth of meat. It keeps things fair.

But then the person who collects the $$$ (PayPal?) will be responsible for not only buying the food but also getting it to the meet. $5 per person would be a good start. If 50 people go, you'll have $250 to spend on stuff. $250 can buy A LOT of stuff, especially at COSTCO.

If this is going to be an All-Cali AcuraZine meet, then there's no point in inviting another car forum/club. Aside from complicating the organization process, we'll have to find an even larger location for all the cars and people. Besides, don't people here end up telling their non-AZ friends to go anyways?

The fee will range depending on everything i listed here. here's another brief list of what the money can go towards to:
- food (drinks, snacks, meat)
- supplies (utensils, etc)
- raffles/contests
- activities

of course to cut costs, we can BORROW someone's things. something we don't have to buy. for example, bbq cooking utensils, chairs, football, Frisbee, megaphone, etc.

yes i have a lot of time, i'll at least figure out a rough agenda and look into a few parks.

What competition categories could people compete in?

Performance mods
Wheels/tires
Audio
Electronics
????

I like to comp idea because it gets everyone into checking out all the cars, generates conversation, etc...

Could also do a DIY demo or something along those lines....

Definitely need to remember the sunscreen this time

Set fee/person sounds good but I don't think it's practical to ask one or two people to be responsible for buying & hauling all that shit to the meet.

Pot luck is more interesting and keeps everybody accountable for bringing something.

The wasn't that big on an issue but we need people that say they are going to go to GO and so we don't have 8 people bringing chips.

a DIY demo is a great idea. of course something simple and doable but still worthwhile to watch. something along the lines of detailing might work. if anyone has a DIY that fits, then suggest it.

The categories will be something like the following:
Best Performance
Best Audio
Most Original
Best Overall
suggestions. this is a general idea. this one isn't a big deal, i'll just get some ideas from other shows.

Agreed, I will get a rough estimate. I really want more, but I spent up to $60 at some potluck meets, so don't expect to pay $5 and get a shirt, food, drinks, activities. but i'll figure that out later.

It can get expensive and of course if people bought in bulk it would save $$$.

I think practicality prevents us from having one person responsible for gathering this and that.
